Congress Success Guide

Conference Success Outline for USA Gymnastics National Congress

Welcome to USA Gymnastics National Congress and Trade Show. This weekend is an investment in your gym, your leadership, and your professional growth. The goal is to leave with practical ideas, strong connections, and clear next steps you can implement when you return.

Arrive Early and Get Oriented

Arriving early helps reduce stress and improves your return on investment. Start the weekend feeling prepared, not rushed.

  • Check in early for your badge, materials, and updates.
  • Walk the layout before your first session: session rooms, trade show entrances, restrooms, water stations, and quiet reset spaces.
  • Review the vendor list and identify 3–5 priority booths tied to your gym’s needs.
  • Choose a few meet-up points for your team, quick notes, and mental reset.

Plan Ahead to Maxmize Sessions

Congress is packed with opportunities! Planning ahead is how you avoid decision fatigue and get more value out of every hour.

  • Build your schedule before you arrive using the online customizable My Schedule feature.
  • Plan sessions by outcome, not just interest: coaching, judging, business growth, customer experience, leadership, and wellness.
  • Divide session coverage with your team and avoid overlap unless it strengthens consistency, such as hands-on spotting.
  • Aim for a daily mix: one session for your current role, one for leadership or operations, and one outside your usual area.

Get the Most Out of Each Session

You don’t need to capture everything—simply focus on what you can implement.

  • Capture 3 takeaways, 1 idea to implement within 7 days, and 1 follow-up question, resource, or contact.
  • Take 2 minutes after each session to note your next step and deadline.
  • If a presenter shares contact information, follow up within 48 hours.

Professionalism: Credentials, Attire, and Etiquette

Professional presence supports a strong learning environment and protects participation in hands-on education.

  • Ensure all required credentials and trainings are current before Congress, especially for hands-on sessions.
  • If bringing staff, verify eligibility in advance.
  • Dress professionally.  Coach-ready or business casual with closed-toe shoes, pulled-back hair for safe spotting/training.
  • Silence phones, limit side conversations, and save snacks for before or after sessions.

Build Wellness Into Your Strategy: “Balance” Initiative

This year includes Balance: Wellness for Gymnastics Professionals, a wellness initiative designed to support your mind, body, and spirit. Look for the Balance icon and intentionally schedule one wellness activity each day.

  • Look for opportunities such as Morning Stretch, wellness lectures, chair massage, PT Chat, or the Meditation Room.
  • Wellness is not extra — it improves focus, patience, and decision-making throughout the weekend.

Trade Show Strategy: Explore Tools That Drive Growth

The trade show can shorten your research time and unlock new solutions for your gym.

  • Visit vendors aligned with your goals, such as equipment, software, apparel, marketing, or retention tools.
  • Ask practical questions: What saves time, improves customer experience, and works best for a gym your size?
  • Get the rep’s name and best contact information for follow-up.

Networking: You’re Not the Only One Who Feels New

Most people are open to connection. Often, they are simply waiting for someone else to start the conversation.

Easy conversation starters

  • “Is this your first Congress, or do you come most years?”
  • “What session has been the most useful so far?”
  • “What’s one thing your gym is trying to improve right now?”
  • “Have you seen a vendor or product that impressed you?”
  • “What’s one idea you’re excited to implement when you get home?”

Keep Your Energy High: Hydrate, Move, Reset

Congress is a marathon of learning. Protect your energy so you can stay focused and engaged.

  • Stay hydrated, bring light snacks, and walk between sessions when possible.
  • Step outside for fresh air or use wellness spaces to recharge.
  • Bring a light jacket for cold meeting rooms.

Final Step: Pre-Plan the Debrief and Implementation

Congress creates the most value when learning quickly turns into action.

  • Schedule a 30-minute debrief meeting with your team within 48–72 hours of returning.
  • Review top takeaways, one quick win for this week, one bigger improvement for this month, and vendor follow-ups.
  • Designate responsibility and deadlines so ideas become measurable progress.
